Policies and Procedures


  1. Qualifications

  2. New members must be a legal resident of Arizona, at least 18 (eighteen)years of age. Guests must be at least 18 (eighteen) years of age. Membersmust enjoy talking and not WHINE.

  4. Membership shall be limited to 40 (forty) members. Anytime membershipdrops below 40, new members will be permitted. When membership is fullpotential members will be placed on a waiting list. (new provision passedat a meeting is that new members must have ridden with the club at leastonce before becoming a member)

Shall conduct and call all meetings. Presidentsends welcome letter to new members. 

Shall act as president in the absence of President. Vice President willbe in charge of pins for the members. 

Shall be in charge of all funds. Shall report all financial conditions.Oversee all membership business.Make sure all waivers are signed by bothmembers and guests. 

Shall take all minutes of the June meeting and shall ensure that ridenotices are sent out in a timely manner.New packets will be sent out eachnew year by July 30th

GENERAL RULES

A leave of absence not to exceed one season may be granted to a memberdue to pregnancy or illness. Inactive status will automatically drop youfrom membership and open a space for a member on the waiting list. Waitinglist members must make 4 (four) rides per season to be eligible for membership.

Membership shall be terminated for:

Dues

The annual dues shall be $30.00 for active members. Dues are payableat the annual meeting and no later than the 15th of August.When a membership opening becomes available the $30.00 dues still applies.

Waivers

All guests and members will sign and date a waiver not holding ArizonaCowgirls responsible or liable for accidents or injury to any person oranimal. Waivers must be signed at the time of membership. All Guest mustsign waivers before riding.

Annual Meeting

The annual meeting shall be held on the second Wednesday in June ofeach season. Each member is encouraged to attend Board members shall beelected at the annual meeting. Voting for officers shall consist of a 2/3majority vote. Voting will be done by secret ballots. The waiting listshall be reviewed at this time. Changes to bylaws and any undone businessshall be conducted at this time.

Year of Season

The year of the season shall be August 1st to June 30th.

Monthly Rides:

We ride 11 months a year plus an annual luncheon meeting held in June.The first ride shall be held on the 1st Wednesday in August.The annual luncheon meeting will be held the 2nd Wednesday inJune.

ERROR MSGMembers must make a minimum of 4 (four) rides per season. Four of theeleven rides with one of them being the annual luncheon meeting.Monthly ride sign-ups will be at the annual meeting. Each ride hostessshall notify the secretary of all ride information at least three weeksprior to her ride. The secretary will provide the hostess with mailinglabels and stamps. The hostess shall then create and send our ride noticestwo to three weeks before the ride is scheduled. In the event of a canceledride, the ride will automatically be rescheduled for the following Wednesday.A second rain date (cancellation) will automatically cancel the ride. Allmonthly rides shall start at hostess's discretion. Anyone not ready toride out at the designated time shall be left on her own to catch up. Ridesshall consist of day rides, with occasional optional overnights.

Guests

Members may bring 1 (one) guest per ride. Each member shallbe responsible for her guest, making sure she is aware of all dress andequipment requirements and ride etiquette. A prospective member mustride with the group at least once before they can become a member. If aguest becomes a new member while on a ride, that ride will count towardthe required four rides per year.

On a couple's ride, a member escort is not counted as a guest. One couplewould be considered a guest.

Hosting a Ride

Ride hostesses shall be responsible for preparing and leading her ride.Their duties shall include:
